The Disability Support Services (DSS) Group is responsible for commissioning, funding, and stewarding high-quality services that support disabled people, their families, and whānau.

About the role | Mō te tūnga:
As an Executive Assistant you’ll provide timely, high-quality executive and administrative support to the General Manager, Quality Assurance & Improvement and work as part of a collaborative executive support team within DSS.
Key responsibilities include:
- Deliver executive-level secretarial support: word-processing, spreadsheets, presentation materials, and professional correspondence
- Coordinate meetings end-to-end: scheduling, agendas/papers, minute-taking, logistics and catering
- Pro-actively manage diaries, travel and inbox: act as first point of contact, triage calls/emails/visitors, maintain strict confidentiality
- Maintain effective electronic/paper filing systems and information bases; compile statistics; support one-off projects
- Provide accounts support: process purchase requisitions, track back-orders/travel, prepare invoices; liaise with the National Accounting Centre
- Document procedures, share best practice across executive support, and contribute ideas to simplify and improve systems and processes

What you bring | Ōu pūmanawatanga:
- Proven Executive Assistant or senior administrative experience supporting leaders in complex and changing environments
- Advanced MS Office skills (Word, Excel, PowerPoint, Outlook, Visio) and presentation/design tools; electronic diary management; and minute-taking capability
- Experience with purchasing/finance systems (requisitions, tracking, invoicing) and high attention to detail
- Outstanding organisation and prioritisation skills, with the ability to manage competing deadlines calmly, with a can-do attitude
- Professional communication and relationship skills with stakeholders at all levels, inside and outside MSD
- Integrity, discretion and confidentiality when handling sensitive information
- An accessibility mindset where you actively identify and remove barriers and tailor support to individual needs.
