About the role | Mō te tūnga:
As the Executive Assistant in the Capability and Coordination group you’ll play a key role in supporting a senior Manager and leadership team.
You’ll manage complex and confidential administrative tasks, coordinate meetings and travel, and ensure smooth day-to-day operations.
Your work will enable leaders to focus on strategic priorities, people, and partnerships.
This role is based in Wellington.
Key responsibilities include:
- Proactively manage diaries, meetings, travel, and logistics
- Handle confidential correspondence and sensitive information with discretion
- Prepare high-quality reports, presentations, and meeting materials
- Provide secretariat support including agendas, minutes, and follow-ups
- Support recruitment, onboarding, and induction processes
- Support vendor and contractor management, recruitment and onboarding
- Administer finance tasks including invoices, expense claims, and asset registers
- Coordinate events, forums, and stakeholder communications
- Act as a central point of contact for initiatives and reporting

What you bring | Ōu pūmanawatanga:
- Proven experience supporting senior leaders with diary and email management
- Strong judgement, initiative, and ability to manage competing priorities
- Excellent communication skills with the ability to produce high quality written documents
- High attention to detail and ability to work independently and collaboratively
- Experience coordinating recruitment and onboarding processes
- Experience in vendor and contractor management
- Familiarity with finance systems and administrative tools
- Ability to manage confidential information with integrity
- Strong stakeholder engagement and relationship-building skills
- Confidence using digital tools and coordinating hybrid meetings
- A proactive, solutions-focused mindset

Salary | Utu-ā-tau: $79,200.00 - $95,873.00
