Two great opportunities have become available for a confident Executive Assistant to support the General Manager, Organisational Planning, Performance & Governance (OPPG) and General Manager, System Performance and their wider teams. 

 

OPPG team provides important services to the Chief Executive, the Leadership Team and Ministers in relation to organisational strategic planning and decision making, governance and budget processes.

 

System Performance team provides an integrated view of the welfare system to understand how changes in the labour market, housing system, policy and operational changes impact current and potentially future MSD clients.

 

 

In these roles, you will be an approachable point of contact for the team.  You will provide diary and email management, organise meetings and travel, prepare documentation including meeting agendas, minute taking and action points. You will help to develop presentation materials and documents using appropriate software packages, as required. You will also assist the wider team with administrative support, making sure everything runs smoothly and all team systems and processes are as efficient as possible. It is critical to ensure confidentiality of documentation and information is maintained at all times. Maintaining a calm, efficient but friendly approach under pressure is essential.
 

Who are you?

 

To be successful in this role you will be/have:

 

  • significant experience supporting senior executives in similar roles, preferably within large complex organisation and/or the public sector
  • be administratively and systems competent (Outlook, Word, Excel – Visio and videoconference knowledge would be advantageous) with strong attention to detail and good experience in minute-taking
  • be comfortable juggling multiple deadlines and have an unflappable approach in challenging situations
  • the ability to engage with a range of stakeholders in a professional and efficient manner
  • have institutional knowledge and an understanding of corporate solutions environment
  • work collaboratively and connect with colleagues across wider business groups to get things done
  • exercise sound judgement when working independently and able to prioritise, schedule work to meet deadlines and maintain high level of quality
  • knowledge of Government procurement policy and practices 
  • experience in developing and maintaining budgets in support of managers.
