About the role | Mō te tūnga:
We are seeking a highly organised and proactive Executive Assistant to provide high-level administrative and secretarial support to the General Manager, Ministerial and Executive Services, and the General Manager, Health Safety and Security, and contribute to the effective delivery of administrative services across the Ministry.
This pivotal role requires discretion, initiative, and the ability to manage competing priorities in a fast-paced environment.
Key Responsibilities
- Provide executive-level diary, travel, and correspondence management.
- Deliver reception and hosting support, including overseas delegation visits and events.
- Support recruitment, HR administration, and performance review processes.
- Provide financial and budgeting administration, including monitoring expenditure and processing invoices and requisitions.
- Coordinate meetings, prepare agendas and papers, and draft correspondence.
- Maintain effective filing systems, records, and administrative standards.
- Work collaboratively within the Ministerial and Executive Services and Health Safety and Security teams, as well as alongside other Executive Assistants in the Ministry.
What you bring | Ōu pūmanawatanga:
You will have proven experience supporting a senior leader, excellent organisational and communication skills, strong attention to detail, sound judgement, and the ability to maintain confidentiality. Financial administration experience and advanced Microsoft Office skills are essential.
